One of the most useful questions I ask clients before an important meeting is: what is actually happening in this room?

Not what is on the agenda. Not what the calendar invitation says. Not just what you are supposed to cover.

What is actually happening?

Is there trust that needs to be rebuilt? Is there a decision people are avoiding? Is there a power dynamic no one is naming? Is someone looking for reassurance, direction, courage, or a reason to believe this next step is worth the effort?

That question changes how you prepare because it moves you out of “let me get through my content” and into “let me lead the moment I am actually in.”

I’ve watched very smart people prepare for a meeting as if it were an update, when the room was really asking for judgment. I’ve seen people prepare to persuade, when the room first needed to feel heard. I’ve seen people bring data into a room that was quietly asking, “Can we trust you to lead us through this?”

That is the shift: communication gets stronger when you prepare for the real conversation, not just the stated one.
